Data protection privacy statement

Your privacy is important to us. Access to your personal data is subject to strict security controls and we will not share it with third parties.

Definition of the service

The websites of the registered non-profit organization Tracing the Past e.V. and its affiliate projects such as Mapping the Lives are historical projects dedicated to the research and memorialization of the persecuted in Europe 1933–1945 with relevance to Article 9, paragraph 2 (j) in accordance with Article 89 (“Safeguards and derogations relating to processing for archiving purposes in the public interest, scientific or historical research purposes or statistical purposes”) of the European Union General Data Protection Regulation 2016/679.

Identification Data

Your personal data are collected and further processed only to the extent necessary to give you an answer: name, surname, contact details (e-mail address; telephone number if a call back is required). In certain cases, country of residence, nationality, gender, age, economic category and organization type may also be required.

Who has access to your information / who is it disclosed to?

The board of directors of Tracing the Past e.V. and their contractors have access to your data, which is contained in a database. Your enquiry is stored on the server of Hetzner Online GmbH (via the technical services of Spherical Elephant GmbH) and may be forwarded by e-mail to the Tracing the Past e.V. board member responsible for replying to the enquiry.

The contractors have a contract with Tracing the Past e.V. and are legally bound to comply with applicable legislation on the protection and processing of personal data, and more specifically with Regulation (EC) No 45/2001.

No personal data is shared with third parties.

How do we protect and safeguard your information?

Inside Tracing the Past e.V., the data can be accessed by designated board members with a user ID and a password, and by contractors responsible for technical aspects.

Outside of Tracing the Past e.V., only the staff of the contractor, responsible for the reply or for technical maintenance, has access to your personal data, also by entering a user ID and a password.

The functioning of the servers containing the personal data is compliant with Tracing the Past e.V.’s security arrangements and the provisions established by its board of directors for such services and servers.

Personal data protection

The Tracing the Past historical database and user database are operated under the responsibility of the Controller, Mr. Roderick Miller, the chairman of Tracing the Past e.V.

If you have questions or requests about the information you have submitted, please contact the Controller.

Where appropriate, your enquiry will be directed to a member of the board of directors, who should be able to answer it.

If your enquiry is about your rights under EU law, it may be redirected to a European Commission service, Your Europe Advice.

If, after examining your request for advice, it appears you may need the help of national authorities to solve your problem, Your Europe Advice may transfer your case to SOLVIT, a problem-solving network that deals with problems between individuals or companies and the authorities in another country, in cases where there is a possible misapplication of EU law.

Access to your personal data

You have no direct access to the data stored in our server. If you wish to modify or delete your personal data, or want to know what personal data is stored on your behalf, please send us a message. You will receive a reply within 15 working days.

How long is your data kept?

All personal data received and stored— either by Tracing the Past e.V. or the contractor—are erased after 5 years.

Subscription to the Tracing the Past mailing list

The Tracing the Past mailing list service allows you to receive information about updates and events relating to our projects.

After ticking the optional checkbox “I authorize Tracing the Past e.V. to add my e-mail to the Tracing the Past e.V. mailing list“ available on the enquiry form, your personal data will be added to Tracing the Past’s mailing lists management service.

You can modify your data at any time via our management service. You have the possibility of:

  • changing your identification data (your e-mail or password)
  • changing your personal data
  • changing your subscription
  • completely unregistering from the system.

Your data is available to Tracing the Past board members and its contractors and is kept in the mailing list database until you cancel the subscription.

Tracing the Past e.V. is committed to user privacy.

This general policy covers Tracing the Past’s websites within the org domain.

Although you can browse through most of these web pages without giving any information about yourself, in some cases, personal information is required in order to provide the e-services you request.

How do we treat emails you send us?

Some web pages from Tracing the Past e.V. have a “Contact” button, which activates your e-mail software and invites you to send your comments to a specific functional mailbox.

When you send such a message, your personal data is collected only to the extent necessary to reply. If the management team of the mailbox is unable to answer your question, it will forward your e-mail to another service. You will be informed, via e-mail, about which service your question has been forwarded to.
